A growing US nurse staffing agency running entirely on manual processes
AnyShyft is a nurse staffing agency based in the United States, placing registered nurses and healthcare assistants into facilities on a per diem and short-term basis. When they came to Staffinc, they were growing fast โ but their operation hadn't scaled with them. Every part of their process from the moment a nurse applied to the moment they completed a shift was manual.
New nurse onboarding meant emailed documents, spreadsheet tracking and manual credential checks. Shift scheduling meant phone calls and WhatsApp messages. Timesheet collection was paper-based. Their ops team was spending the majority of their time on tasks that should be automated โ and as volume grew, so did the admin burden, the error rate and the compliance risk.
They needed a single platform that handled everything โ nurse onboarding and verification, scheduling, a mobile app for their nurses, and a dashboard for their ops team. Not three separate tools. One connected system built specifically for how a nurse staffing agency works.
Five operational problems that were holding AnyShyft back from scaling
-
Nurse onboarding was entirely manual and slow
Every new nurse meant emailed forms, manual document collection, spreadsheet tracking and individual credential checks. The process took days per nurse, created a backlog and meant new staff couldn't be scheduled until the ops team had worked through a pile of paperwork.
-
Credential verification had no system behind it
RN licences, certifications, BLS/ACLS and insurance documents were checked manually, stored in folders and never tracked for expiry. Nurses working with lapsed credentials was a real and recurring compliance risk.
-
Scheduling ran on phone calls, texts and WhatsApp
The ops team had no real-time view of who was available. Filling a shift meant calling through a list, waiting for responses and manually confirming each booking. Last-minute gaps were a recurring problem with no fast resolution process.
-
Paper timesheets with manual payroll reconciliation
Nurses submitted paper timesheets at the end of each shift period. The ops team manually compiled hours, cross-referenced against scheduled shifts and generated payroll exports โ a process that introduced errors and consumed days every pay cycle.
-
No visibility over the operation as a whole
With data spread across spreadsheets, email folders and individual staff's phones, leadership had no reliable view of fill rates, compliance status, active nurses or client performance. Decisions were made on instinct, not data.
A complete nurse staffing platform โ onboarding to payroll, in one system.
We built the full AnyShyft platform from scratch โ digital onboarding and credential verification, real-time scheduling, a nurse mobile app and a full agency ops dashboard. Every stage of the nurse journey connected, with no manual re-entry between systems.
Digital Nurse Onboarding
Nurses complete their full onboarding through the mobile app โ personal information, work authorisation, direct deposit details and all required documents. The ops team reviews and approves from the dashboard. What used to take days now takes hours.
Credential Verification System
RN licence, certifications, BLS/ACLS and insurance documents uploaded during onboarding, stored securely and tracked for expiry. Automated alerts sent to nurses and the ops team before documents lapse. Zero manual credential chasing.
Real-Time Shift Scheduling
The agency dashboard shows live nurse availability for any date. Post open shifts, see matched available nurses instantly, assign and confirm โ all without phone calls. Nurses receive instant push notification when a shift is confirmed.
Worker Mobile App โ iOS & Android
Full nurse-facing app: onboarding, shift browsing and requesting, availability management, digital timesheet submission, earnings dashboard and direct chat with the scheduling team. Designed for nurses on the move, not at a desk.
Digital Timesheets & Payroll Export
Nurses submit digital timesheets from the app after every shift. The ops team approves from the dashboard. Payroll export generated automatically from confirmed timesheets โ no manual compilation, no errors, no delays.
Agency Ops Dashboard
Complete visibility for the AnyShyft ops team: live dashboard with key metrics, nurse onboarding pipeline, credential status, scheduling, timesheet approvals, client management, invoicing and reporting โ all in one place.
Built for nurses on the move โ from onboarding to payday
The AnyShyft nurse app handles the complete nurse journey on mobile. From completing their first onboarding form to submitting their last timesheet of the week, everything a nurse needs is in one app โ fast, clear and designed to work on a phone between shifts.
Onboard & Verify
Complete the full onboarding flow, upload credentials and get verified โ all from the app. No paper forms, no email attachments.
Browse & Book Shifts
See open shifts, set availability and request in one tap. Push notification the moment the scheduling team confirms a booking.
Timesheets & Earnings
Submit digital timesheets after every shift. View earnings history and payslips in the app โ full transparency, no surprises.
Full platform โ live in 16 weeks
US nurse staffing workflow and compliance mapping
Mapped every current manual process end to end โ from first nurse application through to payroll export. Documented the US compliance requirements: state RN licensing, BLS/ACLS, employment eligibility and HIPAA-compliant data handling. Identified the 6 core flows that had to work perfectly from day one.
Weeks 1โ2Shared backend โ one data layer for both products
Built the entire backend before any front-end work โ nurse profiles, credential records, shift data and payroll as a single source of truth. Both the mobile app and agency dashboard read from and write to the same layer, so nothing ever needs to be re-entered between systems.
Weeks 3โ5Nurse mobile app โ iOS and Android
Full nurse-facing app built in React Native: complete digital onboarding flow, credential upload and verification, shift browsing and requesting, availability management, digital timesheet submission, earnings dashboard and push notifications. Fortnightly demos with the AnyShyft team throughout.
Weeks 4โ11Agency ops dashboard
Full web dashboard for the AnyShyft scheduling team: onboarding pipeline view, credential verification and expiry tracking, real-time nurse availability, shift creation and assignment, timesheet approval workflow, client management, invoicing and payroll export.
Weeks 8โ14Go-live and nurse onboarding
Existing nurse records migrated into the platform. Active nurses guided through the app onboarding flow to complete their digital profile and upload credentials. Parallel running with the old process for one week before full cutover to the platform.
Weeks 15โ16What changed from day one of going live
Digital onboarding from day one
Every new nurse completes their full onboarding in the app โ documents uploaded, credentials verified, profile approved. What previously took days of email back-and-forth is now completed in hours. New nurses enter the scheduling pool faster.
Nurse availability โ always current
The scheduling team sees live availability for every nurse on the dashboard. Open shifts get filled from a pool of genuinely available, verified nurses โ without a single phone call. Confirmation is instant on both sides.
Paper timesheets โ from go-live
Every nurse submits digitally after each shift. The ops team approves from the dashboard. Payroll export is generated automatically โ no manual compilation, no cross-referencing, no errors. Pay cycle time cut significantly.
Credential compliance โ always tracked
Every nurse's credentials are stored in the platform with automated expiry tracking. The ops team sees who is compliant, who is expiring and who needs renewal โ before it becomes a liability. No more lapsed credentials going unnoticed.
"AnyShyft needed a platform that replaced every manual process in their operation โ from the moment a nurse applies to the moment payroll runs. We built both sides simultaneously: the nurse mobile app and the agency dashboard, connected to a single backend. The goal was that no information should ever need to be re-entered between systems. That's what we delivered."
Built for HIPAA compliance and US healthcare requirements
Both products share a single Node.js + PostgreSQL backend deployed on AWS US infrastructure with HIPAA-compliant data handling throughout. The mobile app is built in React Native for simultaneous iOS and Android deployment from a single codebase.
